Title: Risk Management Support Clerk Classification: Non-Exempt Supervisor’s Title: Director, Risk Management Reports to: Risk Management Managers (GL and WC) Job Description Position Overview The Risk Management Support Clerk is responsible for ensuring the smooth operation of the office and administrative support functions, as well as providing general administrative support to the Risk Management Director, RM GL Manager and ER GL WC Supervisor in all the different areas of officer administration. Risk Management Support Clerk provides high quality and timely support to the Risk Management Department in areas determined by the Director of Risk Management with the goal of providing Administrative necessary assistance in all areas of Risk Management. General Duties and Responsibilities • Responsible for organizational functions and general clerical support: including arranging, and following up on department phone calls, maintaining meeting schedules, copying, faxing, filing and creating new files for all areas of responsibility within RM • Responsibility for development & implementation of efficient office process and systems • Track and help manage Risk Management Department calendar, assist with meeting set up, and other duties as assigned • Responsible for administration of stores safety supplies program o Ordering supplies as necessary o Fulfillment of safety supplies orders for stores as needed o Maintaining running inventory of safety suppl o Producing invoices for allocation of expense to respective stores o Generate Exceptions Reports for employees missing training o Follow up on Exceptions Reports to ensure employee receives training and keep DMs informed o Keeping track (spreadsheet) of safety supplies expenditure • Assist with Risk Management communications (meeting agendas, mailings, meeting support) • Responsible for incoming and outgoing mail, shipping and receiving • Responsible for maintaining and producing ad-hoc reporting for GL and WC • Communicate with designated parties on claim related parties as assigned and directed by Management • Interact with TPA as required and directed/guided • Support administration of Fleet Safety Program • Support administration of Fleet Maintenance Program • Support administration of Sweep Sheet Program • Assist Administration of DMV program • Other responsibilities as assigned by management (WC & GL) Knowledge and Skills • Able to multi-task a must. • Proactive, helpful, professional, can-do attitude • Flexibility to adjust to very dynamic work environment • Good reading, writing and listening skills • Outstanding follow-up skills - able to take on a project from beginning to end. • Neat, organized, able to work independently and interdependently, welcoming to internal customers (stores) • Computer literate including spreadsheets, word processing, e-mail, web • Able to adjust work schedule as operational needed with Risk Management. Required Education and Experience • High School diploma or equivalent work experience • 2 years minimum administrative experience Physical Demands • Some travel • Combination of working within the stores and corporate office Position Type/Expected Hours of Work This is a Non-Exempt Level Position; Monday – Friday, 7:30am-4:30pm; schedule would be based on business necessity and coordinated through the reporting supervisor.
