Description:

Title: HR/Safety Compliance Specialist. Classification: Non-Exempt. Reports To: HR Director Safety Manager Store Director. Job Description: Position Summary: Ensures compliance in accordance with company policies, procedures, and federal, and state laws. Monitors and ensures compliance with Human Resources and Safety Programs as directed by the VP of Human Resource and Risk Management Director. Communicates company’s HR and Safety policies, procedures, and practices to team members and store management. Replies to team member HR/Safety concerns, inquiries, and problems. Serves as Human Resource and Risk Management department primary compliance representative for store or warehouse. Essential Duties and Responsibilities: Ensures all team members comply with Vallarta’s Core Values. Ensures all team members smile and greet all customers and team members while using the six steps of delivering extraordinary customer service. Ensures compliance in accordance with company policies, procedures, and federal and state laws. Ensures all required federal and state law posters are posted in a visible area to all applicants and/or team members. Complies with staffing needs and assists in preparing job opening advertisements, and other related HR announcements as instructed by the VP of Human Resources. Ensures compliance by communicating all compliance issues/concerns to Corporate HR Management or Risk Management Department. Reviews with store director hiring needs and complies with submitting hiring needs form to corporate HR management. Ensures compliance with applicant vetting process and procedures; ensures the applicant meets job requirements, conducts interviews, and obtains employment verifications. Ensures every new hire completes a Work Tax Opportunity Credit Survey. Hires for all entry-level positions at the store and assists in hiring key positions with the store director. Tracks all applications, applicants interviewed, and applicants rejected/hired, and ensures monthly pre-screen reports are submitted to HR. Ensures compliance with onboarding paperwork; reviews paperwork that is completed accurately makes copies of all required documents, creates files for the store, and complies with new hire processing deadlines. Ensures compliance with the I-9 process and procedures. Complies with federal laws and verifies the identity and employment eligibility of all persons hired using E-Verify. Complies with company policy, ensuring all new hires' biometric fingerprints are registered at Kronos clock. Facilitates new hire orientation in accordance with corporate HR guidelines. Ensures compliance and monitors the “1st Five” program for all new hires. Ensures new team members are given a tour of the store to include the location of team member parking, time clock, eating areas, restrooms, schedules, an emergency exists, and disaster meeting area. Communicates any personnel issues and safety concerns to the store director or warehouse director. Plans work week and enter own schedule in Kronos. Ensures department managers comply with submitting schedules per company policy, adhere to writing schedules that comply with the 5-hour and 7-hour rule, and assign lunch according to company policy. Complies by entering schedules in Kronos for all departments not on auto-scheduler. Administrates paid vacation and sick time and attendance system. Complies in submitting HR/SD recap every Tuesday and emailing the form to the Receptionist (VTC). Must comply with attending weekly conference calls with Corporate HR Management and Risk Management to discuss any issues or concerns. Must attend HR/Safety meetings as requested. Ensures compliance with leaves of absence requests; which includes requesting required documentation for leave of absence and submitting it to the Corporate HR Office. Ensures compliance and communicates approvals or denials of leave requests to team members and management. Ensures compliance with interactive processes when work restrictions are required or requested by team members. Ensures compliance and monitors Full Time / Part Time classification reports and communicates discrepancies to store director and management. Represent the company at unemployment hearings when necessary; complies with presenting facts and documentation which supports the reason for separation. Ensures compliance with performance evaluations by providing feedback on evaluation ratings. Identifies and communicates to Store Director and Supervisor current team members for possible promotions for open positions. Ensures performance evaluations are conducted according to company policy. Assists the Risk Management Department as a witness in workplace injury investigations of Team Members, as well as assists in coordinating appointments with the injured Team Member, relevant Store personnel, and the Company’s investigator. Organizes and coordinates safety celebrations with Risk Management, and Store Director. Communicates Company’s health benefits and financial wellness programs to team members and processes enrollment applications, cancellations, or changes. Organizes and manages annual open enrollment communications and election process. An employee relations specialist; conducts investigations based on team member complaints to be inclusive of allegations of harassment, discrimination, bullying, and violations of company policies. Reports all team member complaints to the Corporate HR Office and partners with HR management on resolutions of complaints. Ensures compliance through coaching, counseling, guiding, and training store management, of every level, in employment laws, injury reporting, investigation, and company policies as they relate to HR and/or Safety. Ensures training room, equipment used for training, and training materials are available and stored properly. Ensures compliance with sign-off training topics and submits to Corporate HR or Risk Management Department. Complies with, as required, in transporting team members to the medical clinic due to work-related injury/illness, and for reasonable suspicion. Completes injury/illness forms for all team members reporting injury or illness. Assist in completing necessary paperwork for terminations. Ensure compliance with pending short/over, missed punches, and meal period warnings. Ensures store director conducts termination meetings; ensuring final check, EDD pamphlet, and termination report are provided; HR/Safety Compliance Specialist may be present in termination meetings for cause as a witness only when necessary. Ensures compliance with the name badge program for all team members; orders name badges for all new hire and submits badge replacement request every Friday; also ensures compliance with the inventory of badges received and of those maintained at the store. Complies with the Risk Management Department in the development and implementation of Health and Safety Awareness Programs and Policies; Ensures compliance with safety meetings with the Store Director and maintains safety meeting minutes. Helps maintain compliance with regulated practices in the stores with respect to Safety and Health inspections of the overall store, equipment, and team member work behaviors, and complies with entering findings into the Company’s Compliance Audit Management System. Maintains team member files, stores all team member-related documents, and stamps the received date on all documents to be filed on a daily basis. Monitors and tracks disciplinary action to ensure compliance with proper follow-up needed to address Team Member policy or safety violations. Ensures team members are in compliance with Safety Shoe Program guidelines and submits shoe orders to the Risk Management department. Ensures compliance and maintains store inventory of safety supplies, including Personal Protective Equipment, and timely submits safety supply orders to ensure adequate supplies are available within a store at all times. Complies with and distributes safety-related equipment to Team Members as needed, and ensures that proper equipment acknowledgments or safety training documents are completed by Team Members as required. Complies with holding team members accountable when safety supplies are lost or intentionally damaged pursuant to Company policy. Places orders of supplies with corresponding departments. Assists with ensuring store comply with First Aid Supply and HAZMAT programs, to ensure costs are minimized, and Hazardous Wastes are properly and safely stored at all times. Complies with and helps coordinate processes such as training, reporting, distribution, and collection of important safety documents and assists in all aspects of team member accident investigations and procedures. Assist in other stores to cover vacation, leave of absence, open positions, and new store openings. Any other duties as assigned. Knowledge and Skills: Understanding of the English language; reading, writing, and speaking. Understanding of the Spanish language; reading, writing, and speaking. Basic operational use of standard office equipment (i.e. computer, printer/fax, etc.). Basic proficiency with Microsoft Office Suite products (i.e. Word, Excel, Outlook, etc.). Must be able to type at least 35 wpm. Must be able to handle and maintain confidential information. Must be able to build business relationships. Must be able to coach, counsel, guide, and train. Must be a critical thinker. Analytical; ability to identify problems and come up with solutions. Persuasive abilities to get buy-in for recommendations and help from department heads, supervisors, and staff. Ability to establish authority in the area of employee relations and safety. Be flexible; ability to work with numerous interruptions and shift priorities of work as required. Ability to plan and organize work effectively to meet established guidelines. Ability to establish and maintain effective working relations with customers, team members, and management. Knowledge of Labor Laws and/or OSHA Regulations. Knowledge of Word, Excel, PowerPoint, Kronos, and Office 365. Required Education and Experience: Understanding of the English language; reading, writing, and speaking. Understanding of the Spanish language; reading, writing, and speaking. Basic operational use of standard office equipment (i.e. computer, printer/fax, etc.). Basic proficiency with Microsoft Office Suite products (i.e. Word, Excel, Outlook, etc.). High school diploma or general education degree (GED); or equivalent combination of education and/or experience. Must exhibit a responsible, professional, and positive attitude towards the job and store personnel. Must have demonstrated excellent performance, and personnel relations building in current position. Must be able to work a flexible work schedule, including evenings, weekends, and holidays. Must pass a background (credit, criminal, and DMV) check. Must have a valid Driver's License. Physical Demands (example below) Will be required to spend long hours sitting and using office equipment and computers. May also have to do some light lifting of supplies and materials from time to time. Expressing or exchanging ideas by means of the spoken word to impart oral information to team members and to convey detailed spoken instructions to other team members accurately, clearly, or quickly. Manage several requests and situations at one time or simultaneously (multitasking). Position Type/Expected Hours of Work (example below): This is a management, non-exempt level position, and must be able to work a flexible schedule as required by operations (any day of the week and different schedule shifts as needed).
